Position Summary 

Your Virtual Psych Assistant has a VA position available, providing assistance in supporting multiple private practices. You will play a pivotal role in maximising results and minimising costs by providing efficient and cost-effective administrative support from a remote location.

 

We require exceptional organisational skills, attention to detail and the ability to work independently in a virtual work environment. The successful candidate will possess excellent communication skills, proficiency in utilising virtual collaboration tools and a proactive mindset to optimise productivity while reducing expenses. 

This role operates in a fast-paced environment, where prioritisation skills are essential for effectively managing multiple tasks and meeting deadlines.

Role Responsibilities:

  • First point of contact for clients 

  • Handle and coordinate multiple active calendars (booking and rescheduling patients)

  • Return calls (including clients, third parties, etc) 

  • Ensuring clinic procedures are kept

  • Setting up invoicing, billing, third party funding

  • Manage inbox and answer email enquiries

  • Schedule and confirm appointments

  • Proofread and prepare letters and documents

  • Ensure file organisation based on the clinic protocol

  • Provide high quality customer service to clients and external stakeholders

  • Respect confidentiality and privacy of practitioners, directors, staff and clients at all times

  • Maintain a cooperative team environment by communicating openly and in a friendly manner

  • Comply with all company policies and procedures

  • Provide ad hoc support as needed

Desired Person:

  • 1-2 years’ experience in a similar role 

  • Strong communication skills - written and verbal

  • Excellent organisation skills

  • Ability to effectively prioritise tasks

  • Able to demonstrate initiative and identify problems/issues

  • Ability to multi-task and work to deadlines

  • Computer skills and knowledge

  • Experience working with confidential documents/procedures

  • High attention to detail and accuracy

  • Strong customer service orientated

  • Teamwork focus and approach

  • Ability to build relationships with internal and external stakeholders

  • Flexibility and adaptability to changing workloads

  • Excellent telephone etiquette 

  •  Understanding of importance with managing ethical, legal, and professional issues.
